1. Introduction

This policy explains how CallAid (“we”, “us”, “our”) handles personal information when you visit our website, create an account, or use our services. We are committed to transparency and to handling data in line with applicable privacy laws, including the UK GDPR and the EU GDPR where they apply.

2. Who is responsible

For the purposes of data protection law, CallAid is the controller of personal data processed through the CallAid platform, unless we tell you otherwise for a specific product or integration.

3. What we collect

We may process the following categories of information:

  • Account and contact details. Name, business name, email address, phone numbers you provide, and similar identifiers used to run your account.
  • Service and communications data. Information relating to calls, SMS, voicemails, transcripts, lead records, and messages sent or received through the service, including content needed to deliver AI voice and messaging features.
  • Calendar data (if you connect a calendar). With your permission, we access calendar information such as busy times and event titles as needed to show availability and scheduling features. We only request what is necessary for those features.
  • Technical and usage data. IP address, device and browser type, approximate location derived from IP, log data, cookies and similar technologies, and usage analytics to secure and improve the service.
  • Billing related data. Where you subscribe or pay through us, payment related information is handled by our payment processors; we typically receive limited billing status rather than full card numbers.

4. Why we use your information

We use personal data to:

  • Provide, operate, and improve the CallAid service, including AI assisted voice, SMS, lead capture, and scheduling;
  • Authenticate users, prevent fraud and abuse, and keep the platform secure;
  • Communicate with you about the service, support requests, and important notices;
  • Meet legal obligations and respond to lawful requests;
  • Analyse aggregated or de identified usage to understand how the product is used, where the law allows.

Where the GDPR applies, we rely on appropriate legal bases such as performance of a contract, legitimate interests (balanced against your rights), consent where required, and legal obligation.

5. Sharing and processors

We do not sell your personal information. We share data only as needed to run the service, with service providers who process data on our instructions (for example hosting, telephony, email delivery, analytics, AI voice providers, and payment processors). We require them to protect information appropriately.

If you enable integrations (such as Google Calendar, Microsoft Outlook, Twilio, or other partners), those providers receive data as described in their own terms and privacy notices, within the permissions you grant.

We may disclose information if required by law, court order, or to protect the rights, safety, or security of users and the public.

6. International transfers

Our providers may process data in the United Kingdom, the European Economic Area, the United States, or other countries. Where we transfer personal data outside the UK or EEA, we use appropriate safeguards such as standard contractual clauses or equivalent mechanisms where required by law.

7. How long we keep data

We retain personal information only as long as needed for the purposes above, including to provide the service, comply with legal, tax, and accounting requirements, and resolve disputes. Retention periods vary by data type; when data is no longer needed we delete or anonymise it in line with our internal schedules.

8. Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, to object to certain processing, to data portability, and to withdraw consent where processing is based on consent. You may also have the right to lodge a complaint with a supervisory authority.

9. Cookies and similar technologies

We use cookies and similar technologies for essential site operation, preferences, analytics, and marketing where permitted. You can control cookies through your browser settings and, where we provide a cookie banner, through the choices offered there.

10. Children

CallAid is a business service and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe we have collected a child’s data, contact us and we will delete it promptly.

11. Changes to this policy

We may update this policy from time to time. We will post the revised version on this page and adjust the “Last updated” date. Where changes are material, we will provide additional notice as appropriate (for example by email or a notice in the dashboard).
